  • Quotes, bookings and payments: your booking reference, prices, quotes, invoices, payments, deposits and Direct Debit set-up. We never see or store your full card or bank details; Stripe, GoCardless and PayPal handle those.

Who we share it with

We never sell your data. We share it only with people who help us run the business, under contracts that require them to keep it safe and use it only for us:

  • Running the business: HubSpot (customer records), Jobber (scheduling, quotes and invoices), Intuit QuickBooks (accounts and invoices), Google Workspace (email and calendar), and our accountant.
  • Payments: Stripe (online deposits), GoCardless (Direct Debit) and PayPal.
  • Maps and addresses: Google Maps Platform (finding your address on a map, Street View images of the outside of the property, and roof size for instant quotes) and postcodes.io (postcode look-ups; only the postcode is sent).
  • Vans: Webfleet (vehicle tracking).
  • The website: GoDaddy (hosting), Cloudflare (content delivery and security), Google reCAPTCHA, Cloudflare Turnstile and Akismet (stopping spam on our forms), and Google Analytics and HubSpot tracking, only if you accept cookies.
  • Messaging: WhatsApp (Meta), only if you choose to message us that way.
  • Business customers: if we clean for your business, we share job reports, photos and site safety documents with your organisation.
  • Others where needed: our insurers, professional advisers, or the police, courts and regulators where the law requires it.

International transfers

Some of these providers store or access data outside the UK, for example in the European Union, the United States or Canada. Where they do, we rely on UK adequacy regulations or on safeguards such as the UK International Data Transfer Agreement or Addendum, or the UK extension to the EU–US Data Privacy Framework. Our HubSpot account is hosted in the EU.

How long we keep it

  • Enquiries and quotes that do not become work: deleted 12 months after our last contact.
  • Customer records, invoices and payment records: while you are a customer and for six years afterwards, as tax and accounting rules require.
  • Job photos and visit notes: while you are a customer and for two years afterwards (longer for business customers if our contract with you says so).
  • Call notes and marketing preferences: while you are a customer or for 12 months after an enquiry. If you ask us not to contact you, we keep your email address or phone number on a “do not contact” list so we can respect that.
  • Van tracking data: up to 12 months.
  • Website security logs: only as long as needed to protect the site, normally no more than 12 months.

How we keep it safe

Only our directors and staff who need it can see your information, using individual logins. Links to job sheets, photo packs and documents are private and many expire. Passwords and connection keys are stored securely, and the website is protected by security tools and an encrypted connection.
